Volunteer summit organising committee leaders

  • Conference Coordinator

    The Conference Coordinator has a rare opportunity to inspire and lead a highly energized, multitalented, and deeply committed team of volunteers and professional service contractors in delivering the London Insurance Week. The Event Coordinator will work in close conjunction with the Conference Director, and LIW Executive Committee (EC), professional service contractors, and volunteer conference committee to create and implement the conference.



    Managerial Responsibilities


    • Coordinate overall conference planning and execution to ensure all aspects of conference run smoothly to give attendees a memorable experience
    • Comfort with navigating through change and adapting to unforeseen situations that impact the conference planning cycle.
    • Responsible for recruiting volunteer conference organising committee leaders
    • Responsible for managing the conference committee of volunteers and contractors who lead and support the content and service areas of the event.
    • Work with the conference committee to plan the on-site presentation of content.
    • Ability to faithfully resolve and prioritize conflicting requests in a way that is in the best interest of the conference. As the ‘coach’ for the committee, display the ability to manage a team with strong leadership skills.

    Fiscal Responsibilities


    • Ability to manage fluid budgets.
    • Authorize volunteer travel and operating expenses.
    • Work closely with the Event Director to negotiate and approve single-year contracts.
    • Work with other members of the EC to prepare Requests for Proposals (RFPs) and evaluate bids from potential contractors.

    Communication


    • Report regularly to the EC regarding all conference activities.
    • Facilitate and participate in timely communication with the committee to provide direction and solve problems.
    • Represent the LIW Conference to other organisations, the media, and the public-at-large.

    Meetings


    • Responsible for contributing to the planning of all conference committee meetings to maximize efficient use of resources including people, time, and money.
    • Chair all conference meetings.
    • Attend all conference committee meetings, EC meetings, and any other meetings as appropriate.

    Qualifications


    • Vast experience in conference coordination and management preferentially managing, coordinating and executing technology conferences
    • Conversant with technology industry issues.
    • Connected to an established network of individuals within the technology industry.
    • Strong, demonstrated, effective management expertise (able to articulate their own management style); able to manage a diverse group of people with varying needs, goals, and assumptions about their LIW Conference involvement.
    • Able and willing to devote the necessary amount of time to do the job; have solid support from both their employer and family. This position requires work during the day, after hours and over the weekend.

  • Investor Day and Start-Up Competition Coordinator

    The Investor Day and Start-Up Competition Coordinator leads a staff of volunteers to plan and implement a creative and robust breakout session environment where startups can successfully pitch their solutions and innovations and Investors can explore preselected startup work. The Investor Day and Start-Up Competition coordinator oversees session content, schedules activities, and coordinates acquisition of equipment and resources for this event.  The Investor Day and Start-Up Competition Coordinator works closely with the Conference Coordinator, Conference Administration, volunteers, donors and contractors to create a creative and robust environment for attendees.

    • Work with subcommittee and space designer to design a suitable area for startup competition and investor day event

    • Work with donors and contractors to ensure on-site equipment and facilities are appropriate

    • Procure through purchase or donation the necessary equipment and connectivity to support startup competition and investor day event

    • Provide sufficient information to startups and participating investors to successfully present work in startup competition and investor day event

    • Work with donors, contractors and volunteers to set up startup competition and investor day event

    • Manage the on-site operation of startup competition and investor day event

    • Work with donors, contributors and volunteers to tear down the startup competition and investor day event setups at the end of the conference

  • VIP Events Coordinator

    The VIP Event Coordinator leads a staff of volunteers to plan and implement a creative and robust VIP event environment where conference VIPs can network, share thoughts, and strike business partnerships. The VIP Event Coordinator oversees event content, schedules activities, and coordinates acquisition of equipment and resources for the events. The VIP Event Coordinator works closely with the Conference Coordinator, Conference Administration, volunteers, donors and contractors to create a creative and immersive environment for VIP attendees and guests.

    The Keynotes Sessions Coordinator leads a staff of volunteers to plan and implement a creative and robust environment where Keynotes Session participants can immerse themselves in thought provoking knowledge sessions led by top Experts and Speakers. The Keynotes Sessions Coordinator oversees Keynotes Session content, schedules activities, and coordinates acquisition of equipment and resources for sessions.  The Keynotes Sessions Coordinator works closely with the Conference Coordinator, Conference Administration, volunteers, donors and contractors to create a creative and robust environment for attendees and participants.

    The Exhibition Coordinator leads a staff of volunteers to plan and implement a creative and innovative exhibition environment where attendees can experience and witness first hand a varied range of innovative Insurance solutions across several industries and sectors. The Exhibition Coordinator oversees space design, interaction with contributors, shipping, assembly and tear down of the exhibition setup.  The Exhibition Coordinator works closely with the Conference Coordinator, the Conference Event Director, volunteers, and contractors to produce an exciting and provocative exhibition.




    Qualifications

  • Student Volunteer Coordinator

    The Student Volunteer Coordinator manages a large team of students who support the operational needs of the conference. In the process, these future insurance gurus gain valuable professional and personal experiences, are exposed to technology and innovative endeavours, and often meet and work with pioneers in the field. The Student Volunteer Coordinator works with the committee to implement the selection process, determine volunteer requirements for the various programs, and coordinates the student volunteer activities on-site. The Student Volunteer Coordinator works closely with the Conference Coordinator, the Conference Event Director, volunteers, and contractors to create a volunteer program.

  • Conference Production Coordinator

    The Conference Production Coordinator is responsible for the planning, selection process, scheduling, and producing each production session in cooperation with the relevant studio for the summit.  The Conference Production Coordinator works closely with the Conference Coordinator, the Conference Event Director, volunteers, and contractors to produce an educational, entertaining, and provocative Production for the entire summit including media, sound, lightening, livestreaming.

    •Provide information to presenters regarding technical presentation needs, timing, and requirements 

    •Work with Conference Committee and Contractors to create a presentation schedule for production sessions.

    •Work with contractors to ensure on-site presentation facilities are appropriate 

    •Manage the on-site rehearsals and presentations of production sessions, including management of conference presenters, sponsors and partners to ensure all appropriate agreements are completed and each presenter is prepared for their session.

    Financial 

    •Work with the Conference Coordinator and Event Director to prepare preliminary and final conference budgets for the Production Sessions program 

    •Manage the Production Sessions budget 

    Communication 

    Report regularly to the Conference Coordinator and Event Director on the status of the program 

    •Facilitate and participate in timely communication with the contributors, and contractors to provide direction and solve problems 

    •Produce a final report by the Wrap Meeting (describing the process, changes from previous years, and lessons learned)

  • Conference Networking Infrastructure Coordinator

    The Conference Networking Infrastructure Coordinator is responsible for the planning and implementation of the on-site networking infrastructure necessary to support the LIW Conference. The Conference Networking Infrastructure Coordinator works closely with the Conference Coordinator, the Conference Event Director, volunteers, the event centre, and contractors to produce a sophisticated high-speed communication channel that links various programs within the conference both internally together and externally with the Internet.

    •Manage the selection of the conference Internet service provider or vet network provider sponsors

    •Manage the on-site installation, operations, and teardown of the network

    •Assist contributors and committee chairs with on-site network connections and troubleshooting

    •Work with subcommittee to design, install, and manage an on-site Internet access room for attendees

    •Give top priority to performance, reliability and support during the conference and exhibition week

  • Digital Media Coordinator

    The Digital Media Coordinator leads a staff of volunteers to plan and implement a creative and robust media strategy and engagement efforts to boost our online presence and reach. The Digital Media Coordinator oversees digital media content across all summit digital channels.  The Digital Media Coordinator works closely with the Conference Coordinator, Conference Administration, volunteers, donors and contractors to create a highly creative and interactive digital experience to attract potential attendees, sponsors and partners or engage registered attendees at the Conference. 



    Qualifications



    •Substantial experience in event management and coordination

    •Vast experience in creating engaging and interactive digital media content that aligns with conference brand and voice and producing viral social media content

    •Team player who works well with others

    •Experience with project / fiscal management

    The Sponsorship and Partnerships Sales Coordinator leads a staff of volunteers to plan and implement a creative and robust sales strategy and engagement efforts to attract and seal sponsorship and partnership deals for the LIW Conference. The Sponsorship and Partnerships Sales Coordinator oversees engagement with all potential sponsors and partners.  The Sponsorship and Partnerships Sales Coordinator  works closely with the Conference Coordinator, Conference Administration, volunteers, donors and contractors to create a highly creative and interactive digital experience to attract potential sponsors and partners.

    •Report regularly to the Conference Coordinator and Conference Administration on status of sponsorship and partnership engagements and sales

    •Facilitate and participate in timely communication with donors, subcommittee, other Coordinating Committee leaders, and contributors to provide direction and solve problems

    •Produce a final report by the wrapup meeting describing sponsorship and partnership sales effort and strategy, changes from previous years, and lessons learned




    Meetings



    •Attend and participate in all conference committee meetings

    •Organize and implement effective sponsorship and partnership sales strategy subcommittee meetings as necessary

  • Student Volunteer

    Eligibility

    Age



    Applicants must be 18 years of age or older (on or before 20 June 2024).



    Full Time Student Status



    Applicants must be/have been enrolled as a full-time high school, undergraduate, or graduate students for at least one semester between January 2024 and December 2024.



    Expectations

    • Student Volunteers and Team Leaders are required to complete training provided by the Student Volunteer Program after accepting a position.

    • Student Volunteers and Team Leaders will serve the conference in-person shifts on-site at summit.

    • Student Volunteers commit to volunteering about 25 hours to provide operational support for LIW Conference 2025 in pre-Conference shifts or the in-person conference. In exchange for their service and enthusiasm, Student Volunteers receive the highest level of registration for the conference, networking opportunities, and a number of exclusive Student Volunteer-only benefits.

    • Team Leaders are expected to volunteer about 60 hours to provide operational and logistical support for LIW Conference  2025 pre-conference shifts or the in-person conference. In exchange for their service and enthusiasm, Team Leaders receive the highest level of registration for the conference, networking opportunities, and a number of exclusive Student Volunteer-only benefits.

    For In-person Volunteers

    • You are expected to participate in LIW Conference 2025 all day from 07 -11 JULY, 2025 in London.

    • DO NOT plan to depart the summit venue earlier than 6 pm (GMT) on 11 July, 2025.

    • No housing or accommodation will be provided to Team Leaders or Student Volunteers.

    • Student Volunteers and Team Leaders can opt for financial assistance on their application form. If you are awarded financial aid, you will be emailed in May 2025 regarding the amount and how to process your reimbursement.
